The Opportunity
This is a rare chance to support Deepgram's two co-founders, our CEO and CTO. You'll report to their Executive Assistant and learn from her. You'll see how a high-growth executive office runs from the inside, and you'll take ownership of the execution that keeps it moving.
Demand on our executives' time is growing fast. Your job is to own scheduling, travel, logistics, and office operations, so the Executive Assistant can focus on the strategic side of how the CEO and CTO spend their time. As we automate more of the administrative work with AI, more of that strategic work opens up for you too.
You'll also join as Deepgram builds out executive support across the company, with recent additions of executive assistant and business partner roles across several functions. You'll help build the shared systems and standards for executive and cross-functional operations across Deepgram.
This role is for someone who takes pride in getting the small details right and is motivated by knowing their contributions to the larger mission of the company are highly impactful. Priorities shift constantly and much of the work is time-sensitive. For executives moving at this pace, whether the details were handled often decides whether it's a good day or a bad one.
What You'll Do
Own scheduling for the CEO and CTO: turn the steady stream of internal meeting requests into a clean, conflict-free calendar that follows the priorities set by the Executive Assistant
Plan and manage complex travel end to end, and recover quickly when plans change
Support inbox management for the CTO and triage for the CEO: resolve the routine and escalate anything that needs executive judgment
Run day-to-day office operations in Ann Arbor: be the in-person point of contact, handle supplies, vendors, and visitors, and keep the space running smoothly
Plan logistics for leadership offsites, executive dinners, and team events
Keep expenses, reimbursements, and corporate card reconciliation current and clean
Use AI and automation to take manual work out of scheduling, inbox triage, and meeting prep, and share what works with the wider executive support team

It's Important to Us That You Have
At least one role directly supporting an executive, with hands-on ownership of calendar management and travel booking
Exceptional attention to detail, including scheduling across time zones
Daily, hands-on use of AI tools in your work, and real enthusiasm for using them to replace manual steps
Clear, professional written communication. Your messages represent our executives
Sound judgment with confidential information
The ability to juggle competing requests and stay calm under time pressure
Responsiveness to time-sensitive executive requests throughout the day with coverage shared across a two-person team
Thriving off feedback and openness to coaching. This function is being built deliberately, and you won't be navigating it alone
Residence within commuting distance of Ann Arbor, MI, with regular, consistent in-office presence
It Would Be Great If You Had
1–3 years of experience in executive support or a similar coordination role
Experience in a support role at a tech startup or high-growth company
Experience supporting more than one executive at a time
Experience using AI beyond chat, such as automations, custom assistants, or workflows you've built, that you could teach to others
Experience with office management or workplace operations
Familiarity with executive-support tools for calendar, travel, expense, and communications
