Role Overview
Labelbox is looking for a detail-oriented Spend Management Coordinator to own the day-to-day management of our corporate spend program, including our Brex card platform, enforcement of the employee expense policy, and vendor/subscription tracking. This is an entry-level role, well suited to someone early in their finance or operations career who is organized and enjoys building clean, repeatable processes. You'll report directly to the Senior Accounting Manager and partner with employees across the company to keep spending accurate, compliant, and on budget.
What you’ll do:
Brex & card management
- Monitor card activity for unusual or out-of-policy transactions and follow up with cardholders directly.
- Maintain accurate records of who holds a card, their limits, and any changes over time.
- Review submitted expense reports for accuracy, completeness, and compliance with company expense policy.
- Flag policy violations, missing receipts, or miscategorized spend, and follow up with employees to resolve discrepancies.
- Help maintain and clarify expense policy documentation so employees have clear guidance.
- Monitor card transactions for cloud and compute-related spend (Anthropic, OpenAI, etc.) that fall outside our enterprise agreements, and help migrate them into sanctioned accounts.
Budget tracking & reporting
- Track department-level budgets against actual spend on a regular cadence.
- Build and maintain simple, clear reports summarizing spend trends, budget variances, and outstanding items for the Senior Accounting Manager and department stakeholders.
- Support month-end close by ensuring card and expense data is accurate and categorized correctly before it's handed off to accounting.
What We're Looking For
- 0–2 years of experience in finance, accounting, operations, or a related administrative role (internships count).
- Comfortable working in spreadsheets (Excel/Google Sheets); familiarity with formulas and basic data organization.
- Strong attention to detail: this role is built around catching small errors before they become big ones.
- Clear, professional written communication; comfortable following up with employees about policy and documentation.
- Organized and able to manage recurring, deadline-driven tasks (monthly reporting, renewal tracking) without close supervision.
- Trustworthy with sensitive financial and payment information.
Nice to have:
- Prior exposure to Brex, Ramp, or a similar corporate card/expense platform.
- Familiarity with basic accounting concepts (expense categorization, accruals, budget vs. actuals).
