As Eve's first Executive Assistant, you'll play a critical role in helping our founders operate at their highest level. You'll own the details that keep the business running smoothly, proactively solve problems before they arise, and create leverage for company leadership.
This is an ideal opportunity for someone early in their career who is highly organized, eager to learn, and excited to work alongside founders in a fast-paced startup environment. No task is too big or too small, you'll be a trusted partner who helps wherever needed.
Executive Support
- Manage and maintain complex calendars for Eve's founders, including scheduling, prioritization, and conflict resolution.
- Coordinate internal and external meetings across multiple stakeholders and time zones.
- Serve as a point of contact for executives, ensuring timely communication and follow-through.
- Help manage inboxes, track action items, and ensure important follow-ups don't fall through the cracks.
- Prepare agendas, meeting materials, notes, and follow-up documentation as needed.
Travel & Logistics
- Coordinate travel, including flights, hotels, transportation, etc.
- Manage expense reporting, reimbursements, and related administrative tasks.
- Anticipate logistical challenges and proactively solve them before they become issues.
Operations & Special Projects
- Partner with Workplace and People to help plan company offsites, onboarding activities, and internal events.
- Handle ad hoc requests and special projects across teams as business needs evolve.
- Build and improve systems, processes, and documentation that increase efficiency.
- Leverage AI tools to streamline workflows, communications, scheduling, and administrative processes.
Be a Utility Player
- Jump in wherever support is needed.
- Take ownership of both strategic and administrative tasks.
- Help create structure and organization in a rapidly growing company.
- Operate with sound judgment, professionalism, and discretion.
What We Are Looking For
- 1–3 years of experience in an administrative, executive support, operations, coordinator, or similar role.
- Exceptional organizational skills and strong attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and adapt quickly in a fast-paced environment.
- High level of professionalism, discretion, and judgment when handling sensitive information.
- Proactive, resourceful, and solutions-oriented mindset.
- Comfortable working independently while maintaining strong communication with stakeholders.
- Experience with Google Workspace, Slack, and modern productivity tools.
- Enthusiasm for AI and willingness to leverage tools like ChatGPT, Claude, or similar technologies to improve efficiency.
- Based in the San Francisco Bay Area and able to work from our San Mateo office at least 3 days per week.
